Pending tasks
See every piece of work waiting on someone, find your own, and send a polite reminder.
The Pending Tasks page is a single list of every piece of work still waiting on someone, across all your protocols. Use it to see what is outstanding, spot anything overdue, and send a polite reminder without writing an email yourself.
Open it by clicking Pending Tasks in the menu on the left.
What counts as a task#
Trelice tracks three kinds of pending work:
- Section Authoring — a protocol section has been assigned to a writer but is not finished yet.
- Section Review — a protocol section has been submitted for review and a reviewer has not decided yet.
- Consent Form Review — a consent form section is waiting on a reviewer.
Reading the page, top to bottom#
At the top is the heading Pending Tasks with the note "All outstanding tasks across protocols — reviews, approvals, and workflow steps".
Below that, a row of number cards summarizes the workload: Total Pending, Section Authoring, Section Reviews, Authoring Tasks, and — in red — Overdue.
If more than one protocol has open tasks, a By Protocol card appears next. Each chip shows a study number, the protocol title, a count of its tasks, and a red count of any overdue ones. This is the quickest way to see which protocol needs attention.
Then comes the filter row, and finally the task table itself.
Filtering and searching#
- Next to the word "Filter:", click one of the buttons: All Types, Section Review, Section Authoring, or Consent Form Review. The selected button turns solid.
- To narrow further, type in the search box on the right, which hints Search by name, protocol, study.... It matches the task description, protocol title, study number, or assignee name.
What you'll see: the table shrinks to matching rows as you type.
Note: If the page shows No pending tasks, read the smaller line underneath. "All tasks have been completed across all protocols." means there is truly nothing waiting. "No tasks match the current filters." means a filter or search term is hiding tasks — click All Types and clear the search box.
The task table#
The table has these columns, each sortable by clicking its heading:
- Task — what needs doing. If the task name is a link, clicking it takes you straight to where the work happens (for example, the right section in the protocol editor).
- Type — a colored badge: Section Review, Consent Form Review, or Section Authoring.
- Protocol — the study number with the protocol title beneath it.
- Assignee — who the task is waiting on, with their role underneath. If no one is assigned yet, you'll see an italic note like "Awaiting Medical Writer" — the task is waiting for someone in that role.
- Pending Since — how long the task has been open, such as "3 days ago".
- Due Date — the deadline, if one was set. A date that has passed turns red and gains a small warning triangle with the word Overdue.
- Status — the section's current state, such as "IN REVIEW".
At the far right of every row is a small bell icon. That is the reminder button.
Sending a reminder#
You do not need to chase colleagues by email. Trelice can send them a notification for you.
- Find the task in the table.
- Click the bell icon at the right end of its row (its tooltip reads "Notify people about this task").
- A window opens titled Notify about: followed by the task name.
- Under People on this task, tick the people directly involved. Each row shows the person's name, email, and role, plus a badge explaining their connection: Assignee, Reviewer, Writer, or Eligible reviewer.
- To reach someone not listed there, use Notify someone else. Type in the box hinting Search by name or email… and tick the person you want.
- Optionally type a short note in the Message box ("Add a short note for the recipients…"). It is included with the notification.
- Check the count at the bottom left (for example, "2 selected"), then click Send Notification.
What you'll see: a green check mark with a message such as Sent to 2 people, and the window closes on its own a moment later.
Recipients get an in-app notification (and an email, if their notification preferences allow it) with a link to the task.
Troubleshooting: If the Send Notification button is gray, no one is ticked yet — select at least one person. If the window says "No one is assigned to this task yet.", use the Notify someone else search to pick a recipient.
Where these tasks come from#
Tasks appear here automatically. When a writer is assigned a section, an authoring task opens. When a section is submitted for review, a review task opens for each required reviewer — the reviewer also sees it in their own approval queue. When the work is done, the task disappears from this page by itself; there is nothing to tick off manually.
Due dates are set when sections are assigned or submitted — see Sending a section for review. Trelice also emails people automatically as a due date approaches; the Pending Tasks bell is for the extra, human nudge when you need it.
