Progress and audit reports
See how far along a protocol is, and print a record of everything that happened to it.
Two report pages answer the two questions every protocol lead gets asked: how far along are we? and what exactly happened, and who did it? The first is the Protocol Progress page; the second is the Protocol Audit Report.
Both are reached from inside a protocol. Open the protocol in the editor and use its header links, or follow the breadcrumb from the study page.
The Protocol Progress page#
The page is headed Protocol Progress, with the protocol's title and version beneath it. In the top-right are two buttons: Audit Report (a shortcut to the second report on this page) and Back to Editor.
The summary cards#
Across the top, six number cards:
- Total Sections — how many sections the protocol has, with how many are required.
- Approved — sections fully approved, with the percentage of required sections done.
- In Review — sections currently with reviewers.
- On Track — sections whose due dates are comfortably ahead.
- At Risk — due within the next three days.
- Overdue — past their due date. Shown in red.
The Overall Completion bar#
Below the cards, a bar labeled Overall Completion shows the percentage of required sections approved. The bar itself is striped by color — green for approved, blue for in review, orange for changes requested — with a small legend underneath.
Overdue and at-risk alerts#
If anything is late or nearly late, colored boxes appear next: a red box listing each overdue section (with its assignee and which date slipped — authoring or review) and a yellow box for at-risk sections. Section names in the red box are links straight into the editor.
The charts#
Two pie charts sit side by side:
- Review Status Distribution — how the sections split between Approved, In Review, Changes Requested, and Draft.
- Timeline Health — how they split between Complete, On Track, At Risk, Overdue, and No Date.
Below them, Section Status Overview is a horizontal bar chart with one bar per section. A full green bar means approved; shorter blue or gray bars mean in review or drafted. Rest your mouse on a bar to see its exact value.
If any sections have no writer yet, a card headed with the count of Unassigned Sections lists them — a useful prompt for whoever assigns work.
The All Sections table#
At the bottom, the All Sections table lists every section with sortable columns: Section, Assignee, Status, Authoring Due, Review Due, Health, and Reviewers.
- The colored dot and Health badge use the same five states as the charts: Complete, On Track, At Risk, Overdue, No Date.
- A small orange "REQ" tag marks required sections.
- Reviewers shows approvals out of total, such as "2/3" — two of three reviewers have approved.
- Overdue rows are tinted red and float to the top by default. Click any column heading to sort differently.
Click a section name to jump into the editor.
Note: Due dates come from the assignments made when sections are handed to writers and submitted for review. A section with no dates shows "No Date" health — that just means no deadline was set, not that something is wrong.
The Protocol Audit Report#
Where the progress page looks forward, the audit report looks back. It is the complete, protocol-scoped slice of the audit trail: every creation, submission, approval, change request, and assignment for this one protocol, newest first.
Open it with the Audit Report button on the progress page. The heading reads Protocol Audit Report, with the protocol title and the note "21 CFR Part 11 Compliant".
Summary cards#
Five cards give the totals at a glance: Total Events, Approvals, Change Requests, Assignments, and Submissions.
Filtering the timeline#
A filter bar sits above the timeline with three dropdowns:
- The first starts at All Actions. Narrow to one kind of event: Created, Submitted, Approved, Changes Requested, Writer Assigned, Reviewer Assigned, Reviewer Removed, Withdrawn, or Updated.
- The second starts at All Entities. Choose Protocol for protocol-level events only, or Sections for section events.
- The third starts at All Users. Pick a person's email to see only their actions.
What you'll see: the count on the right updates, for example "12 of 87 events". A Clear filters link appears whenever any filter is active — click it to see everything again.
Reading the timeline#
Each event is a row on a vertical timeline:
- A colored icon and badge name the action — green for Approved, red for Changes Requested, blue for Submitted, and so on.
- A gray Protocol-Level tag marks events on the protocol as a whole rather than one section.
- The right side shows the precise date and time, plus a friendly "2 days ago".
- Below the description, entries that changed content offer a small Show change link. Click it to unfold a before-and-after comparison with removals in red and additions in green; click Hide change to close it.
- The actor's email appears at the bottom of each entry.
Troubleshooting: If the page says "Failed to load the audit report.", you may not have permission to view audit data for this protocol — ask your administrator. If the timeline says "No events match the current filters.", click Clear filters.
Which report do I want?#
- A status meeting, a weekly update, chasing late sections → Protocol Progress, and possibly the Pending Tasks page for the cross-protocol view.
- An inspector, a sponsor question, or "who approved this and when?" → Protocol Audit Report.
- Organization-wide activity, including sign-ins → the global audit trail, if your role includes it.
